ASCORIUM preserves your data

If the legal basis for processing is your explicit consent, we will keep and process your personal data for a maximum period of 2 (two) years. When we provide you the opportunity to unsubscribe, and you choose not to, the period of 2 (two) years is calculated from the date we offered you to unsubscribe.

It concerns personal data which ASCORIUM processes in relation to customers, suppliers and prospective and actual end-consumers. For ASCORIUM’s processing of personal data through your visit of our website, we refer to our “ASCORIUM Privacy Notice for Website Visitors”.

For which purposes does ASCORIUM process end-consumer, customer or supplier related personal data?
In relation to customers, end-consumers and suppliers, ASCORIUM processes personal data for the purpose of performing activities that form part of our business operations, like:

Which personal data does ASCORIUM process for these purposes?
For these purposes, ASCORIUM may use amongst other:

  • Contact data (for example the data typically featuring on name cards such as your name, phone number, e-mail address, your language for communication, your availabilities, your professional field of responsibility)
  • history of when and where we meet, and of communications
  • Past employment, educational details, publications or postings (for example when relevant for the contemplated partnership between ASCORIUM and the company you work for)
  • Complaint details
  • Lifestyle and social circumstances if you have volunteered such information (for example pastimes, food preferences, birthday)
  • Sensitive data for specific, explicit purposes (for example health data for security purposes when you visit certain parts of our premises)

We collect such data when you provide them to us, because other persons provide these data to us (eg. your employer, a third party service provider) or because it is publicly available.

What is the legal ground for processing these data for such purposes?
We use your personal data for the purposes listed above because:

  • ASCORIUM is obliged by law or by the order of any court or regulatory authority to process the personal data (eg. keep records for regulatory reporting, providing information to a public body or law enforcement agency)
  • processing of personal data is permitted in order to establish, execute or terminate a contractual relationship (eg. use and keep CVs of consultants or persons working with a supplier to decide whether to work with them)
  • this is necessary for the purposes of pursuing ASCORIUM´s legitimate interests, but only if these interests are not overridden by the interests or fundamental rights and freedoms of the individual. (eg. we may request formal identification before allowing you access to our buildings for safety and security reasons)
  • you have given your explicit consent (for the processing of sensitive data or for direct marketing when you are not a customer).

Transfer and sharing of your personal data
We may share your personal data with ASCORIUM affiliates, competent authorities, your employer and/or their advisers, your advisers, or other third parties which reasonably need your personal data for the purposes and on the grounds listed above.

We may transfer your data to an ASCORIUM entity or a third party established outside of the EEA. If we do, we will implement personal data transfer agreements based on the standard clauses published by the European Commission to protect your personal data, or on other adequate protection measures. Your rights 
If you are resident in the European Economic Area, you have the following rights in accordance with your situation and the stipulations of the GDPR: (a) to access your personal data and request a copy thereof; (b) to demand the correction of your personal data; (c) to demand the transferability of your personal data; (d) to demand the restriction of the processing of your personal data; (e) to object to the processing of your personal data, particularly for direct marketing; (f) to demand the deletion of your personal data; (g) to demand the elimination of your personal data and (h) to revoke your consent to the processing of your personal data at any time in cases where you have consented to the processing of your personal data.

Revoking your consent to data processing 
A large number of data processing operations are possible only with your express consent. If you have given consent, you can revoke it at any time. To do so, you simply send us an informal e-mail. This does not affect the legality of the processing of data that has taken place prior to you revoking consent. 

Right to object to data collection in special cases and to object to direct marketing (Art. 21 GDPR)
If data processing takes place on the basis of Art. 6 Para. 1 (e) or (f) of the GDPR, you have the right – for reasons arising from your special situation – to object to the processing of your personal data. This also applies for profiling based on these provisions. For the relevant legal basis for processing, see this privacy notice. If you object to processing, we will no longer process your personal data unless we can prove that we have compelling, legitimate grounds for processing the data that override your interests, rights, and freedoms or if the processing of the data is required to enforce, exercise, or defend ourselves against legal claims (objection as per Art. 21 Para 1 GDPR).

If your personal data is processed in order to carry out direct marketing activities, you have the right to object to the processing of your personal data for the purpose of this kind of marketing at any time. This applies also to profiling that is directly related to direct marketing of this nature. If you object, your personal data will no longer be used for direct marketing purposes (objection as per Art. 21 Para. 2 GDPR).

Server log files
The provider of the pages collects and automatically saves information in server log files that your browser sends to us automatically.
This information includes the following:
• Browser type and version
• Used operating system
• Referrer URL
• Host name of accessing computer
• Time of server request
• IP address

No association of this data with other data sources is made. The recording of data takes place on the basis of Art. 6. Para. 1 (f) GDPR. The website operator has a legitimate interest in ensuring that their website is displayed without technical errors and in optimizing their website, and this is why the server log files are required.

Inquiries via e-mail, phone, and fax
If you contact us by e-mail, phone, or fax, your inquiry – including all personal data arising from your inquiry such as your name and the nature of your request – will be saved and processed for the purpose of processing the issue you have raised. This data will not be passed on without your consent.
The processing of this data takes place on the basis of Art. 6 Para 1 (b) GDPR if your inquiry relates to the fulfilment of a contract or the execution of precontractual measures. In all other cases, the processing of the data is based on your consent (Art. 6 Para. 1 (a) GDPR) and/or our legitimate interests (Art. 6 Para. 1 (f) GDPR), since we have a legitimate interest in the effective processing of inquiries directed to us.
The data you send us when you make contact remains stored until you request its deletion, you revoke your consent to its storage, or the purpose for the saving of the data expires (for example, once the issue you raised has been dealt with in full). Binding legal provisions – such as legal retention periods – are unaffected by this clause.

Google Maps
The use of the “Google Maps” function to find locations in the “Contact us” area activates the Google Maps service via an API. The provider is Google Ireland Limited (“Google”), Gordon House, Barrow Street, Dublin 4, Ireland.
Your IP address must be saved to enable the use of Google Maps. As a rule, this information is transmitted to a Google server in the United States and is stored there. The provider of this site has no influence on this data transfer process.
The use of Google Maps takes place with the aim of presenting our offering in an appealing manner and making it easy to find a location specified on our website. This constitutes a legitimate interest in the sense of Art. 6 Para 1 (f) GDPR.

Use of Matomo
